Top 5 Expenses

Top 5 Expenses Dashboard

Top 5 Expenses

Hello y`all, I want to be able to use the Dashboard for the top 5 expenses, but I need to exclude some of the items (from the Expenses Data) as are not in the interest of the client to be included. The template does not let me modify it as the formula needs to be same for the category block. I tried to do a conditional but says it is not possible. any ideas of how can I make it work? TIA!!

Hi Natalia,

Hope you're well. You can try this. it's a quick and dirty solution.

I grabbed the example model and made amendments to the module - it's on a Chart of Accounts 5, so if you're using other CoA you'll need to customise yourself. Otherwise you can export and resuse.

I basically created an inclusion / exclusion category, which you can then allocate at the expense line level. I then put a flag for on and off, then re-pointed the monthly data to this flag so it gets rid of the whole row if you exclude it. I data validated the inclusions as well. You should do it a bit cleaner by creating a lookup component / table for the inclusion / exclusion, but just getting to a quick solution here.

On top of this, your second comment, since it's already category based, you can increase categories and you now have a top 10 (I think I counted correctly...)

Hi, Jun thank you so so much! sounds like a great solution for now, although I can't really locate the flag you mention to check what you did to the file. can you pls tell me a bit more about how can I find it in the file? is in the Top5 expenses? I can't really see anything different than the one I am using. actually I am using a Chart of Accounts 5 too but for multi-business Units. thanks, thanks a lot!!!

Hi Natalia,

With a lot of the dashboard content, the source data is either at the bottom in a separate section/component or on another sheet as a separate component.

This one has the source data down the bottom and I've added another cell block with include / exclude as an assumption. You can select the ones to include / exclude and it'll readjust the list.

hey! sorry never got to response you. Yes I got to manage it at the end. your suggestion helped a lot but I just ended up unlinking the category from the Dashboard!!! thanks a lot!!

Hey Natalia,

Glad to hear you found a solution. It sounds like you're managing it with partial links. I would definitely warn you about using partial links, especially in blocks like that as you can quickly come unstuck down the track without realising it.

I would strongly suggest working out ways of controlling for partial links. As a general thing, we make tell our team members that they always need to work out ways around partial links.
